Leaving a job well protects your reputation and makes sure you get everything you are owed. Here is how resignation usually works at large employers in India.
Know your notice period
Your offer letter or employment contract states your notice period. At large Indian employers it is commonly 30, 60 or 90 days, and sometimes longer for senior roles. Check your contract before you accept a new offer, so that you can give your new employer a realistic joining date.
Notice buyout and early release
- Buyout: you pay your employer, or your new employer pays on your behalf, an amount equal to the unserved part of your notice. Not every company allows it, and the new employer must agree to cover it if you expect them to.
- Adjusting leave: some employers let you set unused leave against the notice period. Check your company policy.
- Early release: your manager may agree to release you earlier once your handover is complete. Ask politely and plan the handover well.
Resign professionally
- Tell your manager in person or on a call first, then send a short written resignation by email.
- Keep the email factual: your last working day, thanks, and an offer to help with the handover.
- Submit the resignation in the company's HR system if it has one.
- Prepare a handover note listing your work, contacts and open items.
Documents to collect
- Relieving letter: confirms that you have been released from your duties. New employers often ask for it during background verification.
- Experience or service letter: confirms your role and dates of employment.
- Payslips for at least the last three months, and your Form 16 for tax filing.
- Full and final settlement statement showing your last salary, leave encashment, bonus, gratuity if eligible, and any recoveries.
Under the labour codes in force since 21 November 2025, employers are expected to pay the full and final settlement much faster than before: within two working days of your last day. Keep your bank details and contact information up to date with HR.
Move your provident fund
Your Universal Account Number (UAN) stays the same when you change jobs. Give it to your new employer, and check on the EPFO portal that your old PF balance is transferred to your new account rather than left behind.
Before you resign at all
Only resign once you have a written offer from your new employer and, ideally, have checked that it is genuine. Real employers send offers from their own email domain after interviews, and never ask you to pay to receive an offer letter.
